How long does it take to capture equipment identification data? Manual typing vs. AI camera capture is the difference between 5 minutes and 30 seconds per asset.

System Integration

Inspection data needs to flow to your CMMS/ERP. Findings should become work orders automatically. Ask specifically: native connector or API project?

Photo Documentation

Photos attached to specific form fields, not dumped in a gallery. Automatic metadata. Annotation capability. Signature capture.

Tier 2: Important Differentiators

AI-Powered Data Capture

Beyond basic OCR: equipment nameplate reading trained on industrial equipment. Confidence scoring. Barcode/QR with asset lookup.

Form Builder Flexibility

Build and modify forms without vendor involvement. Drag-and-drop builder. Conditional logic. Template library as a starting point.

Works on phone (not just tablet). Usable with gloves. Intuitive navigation. Quick to learn. Test with actual field workers, not the IT team.

Common Selection Mistakes

Mistake 1: Buying for the Demo, Not the Field

Vendors demo in conference rooms with good lighting, strong WiFi, and clean data. Your reality is mechanical rooms, dead zones, and faded nameplates.

Fix: Insist on field testing with your actual inspectors, your actual equipment, your actual conditions.

Mistake 2: Over-Weighting Features, Under-Weighting Adoption

A platform with 100 features that inspectors hate using delivers less value than a simple tool they actually complete forms on.

Fix: Include field technician feedback in evaluation criteria. Day-10 behavior matters more than day-1 enthusiasm.

Mistake 3: Ignoring Integration Costs

"We have an API" sounds like flexibility. In practice, it means you're building the integration yourself or paying consultants to do it.

Fix: Get specific quotes for integration implementation. Ask if connectors are pre-built or custom.

Mistake 4: Not Testing Offline Properly

Vendors claim offline capability. Reality varies dramatically.

Fix: Test in actual field conditions. Airplane mode. Mechanical room. Basement. Four hours without signal.


Evaluation Process

  1. Requirements: Document your specific pain points, must-haves, integration needs, budget
  2. Long List: Identify 5-8 vendors that might fit
  3. Short List Demos: Narrow to 3-4, get demos customized to your use cases
  4. Field Pilot: Top 2 candidates run real pilots with real inspectors
  5. Decision: Final selection based on pilot results, not demo impressions

Questions to Ask Every Vendor

AI and Automation

  • How does your AI capture equipment nameplate data? Can I test it on my nameplates?
  • What's the accuracy rate on faded or damaged nameplates?
  • Is the AI general-purpose OCR or trained on industrial equipment?

Offline

  • What features work offline vs. require connectivity?
  • Can I complete an entire inspection form offline including photos?
  • How are sync conflicts handled when connectivity returns?

Integration

  • Is SAP/Maximo integration native or middleware?
  • What data flows automatically vs. requires manual steps?
  • What's the implementation timeline and cost?

Adoption

  • What's your typical user adoption rate after 90 days?
  • How long does training take for field technicians?
  • Can we talk to a reference customer in our industry?

The Bottom Line

Field inspection software selection comes down to four things:

  1. AI capabilities: Does it eliminate data entry or just digitize it?
  2. Integration: Does data flow to your systems automatically?
  3. Offline reliability: Does it actually work in the field?
  4. Adoption: Will your inspectors actually use it?

The market has matured. Basic digitization is table stakes. The leaders are tools that use AI to fundamentally change how fast and accurate inspections can be.
