Disclosure: I helped build FormField, one of the tools mentioned here. I'll try to be fair about competitors.

I'll also be upfront about something: if you're doing GIS-heavy work and need Fulcrum's mapping capabilities, you probably shouldn't leave. Fulcrum's geospatial features are genuinely best-in-class. Nobody else does offline basemaps and Esri integration like they do.

But if you're using Fulcrum and not really using the geo features? That's a different story. You're paying for capabilities you don't need, dealing with a more technical interface than necessary, and hitting that annoying 5-user minimum.

This comparison is for that second group.

Why People Leave Fulcrum

Paying for geo features you don't use. Fulcrum's pricing includes sophisticated GIS capabilities. If your inspections don't involve mapping, polygon capture, or ArcGIS - that's wasted money.

5-user minimum. At $35-55/user/month, you're looking at $175-275/month minimum before you've collected a single form. For small teams, that's a rough starting point.

Technical interface. Fulcrum was built for power users who think in lat/long coordinates. If your techs just need to fill out equipment inspections, it can feel overwhelming.

No native ERP integration. Fulcrum connects beautifully to Esri. Getting it to talk to SAP or Maximo? That's an API project.

FormField.ai

Disclosure: I helped build this, so factor that in.

FormField takes a different approach to field data collection. Instead of starting with location (like Fulcrum), we start with equipment. Point your camera at a nameplate, AI reads it, form fields populate.

Strengths:

  • Camera-based nameplate capture eliminates manual typing
  • Native SAP and Maximo integration
  • Offline works reliably (built in from day one)
  • Simpler interface for non-technical users

Limitations:

  • Basic location capture, not GIS - if you need mapping, stay with Fulcrum
  • Newer company, smaller template library
  • AI handles most nameplates well, but heavily damaged ones still need manual entry

Best for: HVAC, electrical, facility maintenance - equipment-heavy inspections where nameplate data capture is the bottleneck. If you don't need Fulcrum's geo features but do need smarter data capture, this fills that gap.

SafetyCulture

SafetyCulture started as iAuditor and has grown into a comprehensive operations platform - inspections, training, asset management, incident reporting.

Strengths:

  • Massive template library (100,000+)
  • Free tier that's actually useful
  • Modern, polished app
  • Platform breadth if you need it

Limitations:

  • Can feel like overkill - lots of features you might not use
  • Pricing jumps significantly past free tier
  • No AI for equipment data capture
  • Basic location features compared to Fulcrum

Why you'd pick this over Fulcrum: If you don't need GIS and want a more comprehensive operations platform with a modern interface, SafetyCulture delivers. But you're trading Fulcrum's geo capabilities for SafetyCulture's platform features.

GoCanvas

GoCanvas is the veteran option - 16+ years in market, mature platform, extensive templates.

Strengths:

  • Stable and reliable
  • 30,000+ templates
  • Straightforward form builder
  • Good PDF generation

Limitations:

  • Mobile app feels dated
  • No AI capabilities
  • Offline could be better
  • Basic location features

Why you'd pick this over Fulcrum: If Fulcrum's complexity exceeds your needs and you want something simpler and more established, GoCanvas is a safe choice. But don't expect innovation or modern AI features.

ProntoForms (TrueContext)

ProntoForms is built for enterprise - deep SAP/Salesforce integration, serious compliance certifications, complex workflow support.

Strengths:

  • Strong compliance (SOC 2, HIPAA, CFR Part 11)
  • Deep ERP integration
  • IT departments tend to approve it

Limitations:

  • Complex - designed for enterprise requirements
  • Steep learning curve
  • No AI features
  • $25-45/user/month adds up

Why you'd pick this over Fulcrum: If you need enterprise compliance certifications and deep ERP integration more than you need GIS, ProntoForms delivers. But be prepared for complexity.

FastField

FastField keeps it simple. Basic mobile forms at a reasonable price.

Strengths:

  • ~$20/user/month - lowest price point
  • Simple enough for quick adoption
  • Covers basics: forms, photos, signatures, offline

Limitations:

  • No AI, no automation
  • Limited integrations
  • Dated interface
  • Might outgrow it

Why you'd pick this over Fulcrum: If you're paying Fulcrum's $35-55/user for features you don't use, FastField gives you basics at ~$20. Good for small teams who just need digital forms.

Device Magic

Device Magic combines forms with dispatch and scheduling.

Strengths:

  • Built-in dispatch features
  • Unlimited forms and submissions
  • Good SQL and Salesforce integration

Limitations:

  • $69/user/month is premium
  • 3-user minimum
  • No AI or smart capture

Why you'd pick this over Fulcrum: If dispatch/scheduling is important and you're tired of separate systems, Device Magic bundles it. But you're paying for that integration.

How to Choose

First question: Do you actually need GIS features?

If yes - if you're doing utility mapping, environmental work, surveying, or anything where ArcGIS integration matters - stay with Fulcrum. Nothing else comes close.

If no - if you just need mobile forms and location is secondary - here's how to think about alternatives:

Equipment data capture is your bottleneck? → FormField (camera-based AI)

Want a comprehensive platform? → SafetyCulture (but watch for complexity)

Need enterprise compliance? → ProntoForms

Just want simple and cheap? → FastField

Need dispatch + forms together? → Device Magic

If equipment data capture is your bottleneck

Test FormField with your actual nameplates. See if the AI camera capture works for your equipment.
